1.Purpose and scope
This Privacy Policy is issued by the Australian Institute for Machine Learning (AIML), an institute of Adelaide University, Adelaide, South Australia (“AIML”, “we”, “us”, “our”). It applies to applications operated by AIML that allow you to sign in with your Google account (“our applications”).
This policy describes how our applications access, use, store and disclose the information they receive from Google when you sign in. It is the privacy policy for AIML's Google Sign-in and is the policy referenced on the Google consent screen.
Adelaide University's Privacy Policy governs the University's handling of personal information generally and applies to any matter not addressed here.
2.Information we receive from Google
Our applications use Google Sign-in to verify your identity. They request only the basic sign-in permissions, which Google identifies as openid, email and profile. Through these permissions, Google provides us with:
- your Google account identifier, a unique and stable ID used to recognise your account;
- your email address, and whether Google has verified it;
- your name, comprising given name, family name and display name;
- a link to your Google profile picture.
Our applications do not request access to Google Drive, Gmail, Google Calendar, Contacts, Photos or any other Google service, and do not take any action within your Google account. Authentication is performed by Google. We do not receive or store your Google password.
3.How we use this information
We use the information received from Google to:
- sign you in and recognise you on return visits;
- display your name and profile picture while you are signed in;
- control access to applications, or parts of them, that are limited to particular groups or events; and
- maintain the security of the service, prevent misuse and diagnose sign-in problems.
We do not sell Google user data, use it for advertising, or use it to train or fine-tune machine learning models. We will not use it for any purpose not described in this policy without first updating this policy and, where required, obtaining your consent.
4.Storage, retention and deletion
Information received from Google is stored in AIML's Google Cloud environment in the australia-southeast1 (Sydney, Australia) region. It is encrypted in transit and at rest. Access is restricted to authorised AIML staff who require it to operate and secure the service.

| Server and security logs, which may record your account identifier or email address alongside a sign-in or request | 180 days, then deleted automatically. |
You may ask us to delete your account and the information we hold about you at any time by writing to admins@aiml.team. Deletion requests are actioned within 30 days, except where we are required by law to retain particular records.
5.Disclosure to third parties
We do not disclose Google user data to third parties, except:
- to Google, which processes your sign-in as the identity provider in accordance with the Google Privacy Policy, and which provides the cloud infrastructure on which our applications operate under contract to AIML; and
- where disclosure is required by law, regulation or a valid legal process, or is necessary to protect the rights, property or safety of AIML, our users or others.
6.Google API Services User Data Policy
AIML's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
7.Your rights and choices
Adelaide University handles personal information in accordance with the Australian Privacy Principles in the Privacy Act 1988 (Cth). In relation to our applications you may:
